What it is
A maintenance agreement is an annual plan where your customer pays once per year in exchange for scheduled preventive maintenance visits — usually one spring tune-up and one fall tune-up.
HVQuote lets you create plan templates once, assign them to customers, and track renewals from a single view. The system sends renewal reminders automatically — you don't manage a spreadsheet.

How it works
Create your plan templates in Settings
Give each plan a name, description, price, and renewal interval (annual is typical). Example: 'Annual AC + Furnace Tune-Up — $249/year'.
Assign a plan to a customer
From any customer profile, open the Maintenance Plan tab and assign the plan. Set the start date and renewal date.
Customer gets a reminder 30 days before renewal
HVQuote automatically emails the customer 30 days before their plan renews. You can book the appointment directly from the plan record.
See all plans at a glance
The customer list shows who's on a plan with a green badge. Filter by 'On Plan' or 'No Plan' to see your coverage and find gaps.
Why it matters
HVAC is a lumpy business. Work comes in waves. Maintenance agreements smooth that out. A contractor with 40 active agreements at $249/year is walking into the season with $9,960 in guaranteed revenue before answering a single call.
Maintenance visits also put you in front of customers with aging equipment. That's where replacement quotes come from — and replacement jobs are your highest-margin work.
The math
40 plans × $249/year = $9,960 in guaranteed annual revenue
Before you answer a single call. Before you open a single door.
Customer list
The customer list has three filter tabs: All, On Plan, and No Plan. Customers with an active maintenance agreement show a green “Plan” badge. Customers without one are visible in the No Plan tab — so you always know who to talk to about coverage at the next service call.
