Terms of Service

By creating an account or using HVQuote, you agree to these Terms of Service. If you do not agree, do not use the service. These terms apply to all users of HVQuote, including contractors who create accounts and their customers who view proposals.

HVQuote is a web-based quoting tool for HVAC contractors. It lets you create professional proposals, send them to customers, track when they are viewed, and collect payments. We provide the software as a service — you are responsible for the accuracy of the quotes you create and the business relationships you manage through the platform.

You are responsible for keeping your login credentials secure and for all activity that occurs under your account. Notify us immediately at hello@hvquote.com if you suspect unauthorized access.

You must be at least 18 years old and authorized to operate a business to use HVQuote. Accounts are for individual businesses — you may not share access or resell the service.

HVQuote is billed in USD. The base plan is $49 USD/month and includes up to 5 technician seats and 1 admin seat. Each additional seat beyond those limits is $10 USD/month. An optional AI Quote Drafting add-on is available for $9 USD/month — your first 10 AI quotes are free.

All new accounts include a 14-day free trial — no credit card required to start. After your trial ends, a valid payment method is required to continue. Billing is monthly and renews automatically on the same date each month.

Approximate CAD equivalent at current exchange rates: ~$67 CAD/month for the base plan. The charge is processed in USD and the CAD amount will vary with exchange rates.

If you use Stripe Connect to accept card payments from your customers, HVQuote charges a 0.5% platform fee on each transaction, deducted automatically at the time of payment.

You can cancel your subscription at any time. Your access continues until the end of your current billing period — we do not offer prorated refunds for partial months.

After cancellation, your data is retained for 30 days before deletion, giving you time to export anything you need. To request earlier deletion or a data export, email hello@hvquote.com.

You own all data you create in HVQuote — your customer records, quotes, and business information. We do not claim any rights to it. See our Privacy Policy for details on how we store and protect your data.

You agree not to use HVQuote to:

• Send unsolicited commercial messages (spam)
• Misrepresent your identity or business to customers
• Collect payments for services you do not intend to provide
• Attempt to access other users' accounts or data
• Violate any applicable law or regulation

We reserve the right to suspend or terminate accounts that violate these terms without prior notice.

We aim for high availability but do not guarantee uninterrupted access. HVQuote may be unavailable during maintenance windows or due to circumstances outside our control. We are not liable for losses caused by downtime.

HVQuote is provided “as is” without warranties of any kind, express or implied. We do not warrant that the service will be error-free or that proposals generated through it will be accurate or legally sufficient for your jurisdiction.

To the maximum extent permitted by law, HVQuote's liability to you for any claim arising from your use of the service is limited to the amount you paid us in the three months preceding the claim. We are not liable for lost profits, lost revenue, or indirect damages of any kind.

We may update these terms from time to time. We will notify active users by email at least 14 days before material changes take effect. Continued use of HVQuote after changes take effect constitutes acceptance of the new terms.

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes shall be resolved in the courts of Ontario, Canada.
